Role Summary

The Talent Partnerships Purchase Order Coordinator is responsible for managing purchase orders, producing invoices and ensuring talent/agencies and vendors are paid in a timely manner.  This person will need to coordinate between talent/agent/rep and outside vendors to gather all needed tax information for Accounts Payable to process payments.  The Coordinator will maintain agreement databases and perform data driven exercises on a weekly basis for Talent Partnerships.  The role will require collaboration with internal teams including Accounts Payable, Finance, Operations Marketing, as well as daily correspondence with external agencies and Topps representatives.

Responsibilities

  • Create new suppliers and maintain purchase orders from inception to completion.
  • Work closely with Accounts Payable to ensure supplier addresses and tax information are up to date and current in the system.
  • Oversee new onboarding portal for vendors providing support to ensure full execution, as well as providing guidance/feedback to internal parties for ongoing improvements and efficiencies.
  • Ensure that inventory receipts are transacted accurately, and all expenses are allocated to the appropriate GL accounts.
  • Act as liaison to multiple internal departments, including Operations, Finance, Marketing and Brand teams, to implement fulfillment of contract requirements and payments.
  • Maintain overarching autograph agreement databases, as well as individual talent contracts and required tax information for 1099 processing per IRS guidelines.
  • Ensure compliance to contractual obligations ensuring all services on agreements are executed.
  • Foster and maintain relationships with talent, agents, Topps reps and industry contacts; provide status updates on deals and handle special requests as needed.
  • Assorted departmental tasks as needed.

Qualifications

  • Bachelor’s degree required
  • Previous experience in sports/entertainment
  • Experience in related field (Business, Accounting, Finance, etc.).
  • Thorough understanding of financial close processes and controls.
  • Candidates should be analytical, organized and highly detailed-oriented.
  • Must like a fast-paced environment, and have ability to work under pressure, meet tight deadlines and thrive in changing circumstances.
  • Experience with Oracle and Contract Lifecycle Management systems.
  • Exceptional written and oral communication.
  • Well-versed in Microsoft Office applications, must love Excel.

The salary range represents base pay only and does not include short-term or long-term incentive compensation.  This salary range is specific to Los Angeles and may not be applicable to other locations.  When determining base pay, as part of a final compensation package, we consider several factors such as location, experience, qualifications, and training.
