Full job description

DCS Asset Maintenance (DCSAM) is seeking a reliable, organized, and customer-focused Administrative Assistant to support the daily operations of our branch office. This role is responsible for a variety of administrative and office support functions, including front desk reception, document management, scheduling, data entry, and customer service. The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and committed to providing excellent support to both internal teams and external customers.

Key Responsibilities

  • Promote and maintain a positive safety culture by following all company safety policies and procedures.
  • Comply with all company policies, project requirements, and applicable federal, state, and local regulations.
  • Answer and direct incoming phone calls while documenting and dispatching customer inquiries as required.
  • Greet and assist visitors in a professional and friendly manner.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Coordinate meetings, calendars, travel arrangements, and office events as needed.
  • Maintain organized electronic and paper filing systems.
  • Perform accurate and timely data entry, reporting, and document management.
  • Scan, copy, and prepare documents, spreadsheets, and correspondence.
  • Maintain office organization, inventory, and supplies, and communicate purchasing needs to management.
  • Provide administrative support to managers and project staff.
  • Deliver exceptional customer service in all written and verbal communications.
  • Perform other administrative duties as assigned.

Education

  • High School Diploma or GED required.

Experience & Skills

  • 2–4 years of administrative or office support experience required.
  • Insurance claims experience preferred.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Excellent written and verbal communication skills.
  • Ability to prepare professional correspondence.
  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Strong attention to detail and accuracy.
  • Excellent customer service skills.
  • Ability to work independently as well as part of a team.
  • Valid driver's license required.
  • Must be able to comply with the company's drug and alcohol policy.

Pay rate: $18-25.00/ hourly
