Position Summary

The Activities Coordinator Assistant supports the planning, organization, promotion, and execution of community events, recreational programs, and special activities. This position plays a key role in creating engaging experiences for residents and visitors by providing event coordination, administrative support, community outreach, and customer service..

Essential Duties and Responsibilities

  • Assist in planning, organizing, coordinating, and implementing community events, activities, and special programs.
  • Prepare event venues by setting up decorations, equipment, furniture, and supplies; clean and restore event areas upon completion.
  • Provide on-site support for indoor and outdoor events, including daytime, evening, weekend, and holiday activities.
  • Solicit sponsorships from local businesses, organizations, and community partners to support events and programs.
  • Obtain raffle prizes, donations, giveaways, and other contributions for community events and fundraising initiatives.
  • Develop and maintain positive working relationships with local businesses, vendors, sponsors, volunteers, and community organizations.
  • Travel locally to pick up event supplies, materials, prizes, equipment, and other necessary items.
  • Manage event reservations, registrations, attendance tracking, and related records.
  • Create and distribute promotional materials, including flyers, posters, newsletters, social media content, and event advertisements using computer software and web-based platforms.
  • Assist with website updates and online marketing efforts to promote activities and events.
  • Provide exceptional customer service to residents, guests, participants, sponsors, and volunteers.
  • Transport, organize, and move event equipment, furniture, decorations, and supplies, including lifting and carrying heavy boxes and navigating stairs as needed.
  • Monitor and maintain inventory of activity and event supplies; coordinate replenishment when necessary.
  • Support fundraising campaigns and community engagement initiatives.
  • Ensure event spaces remain safe, clean, organized, and compliant with organizational policies and safety standards.
  • Perform administrative duties, including data entry, filing, scheduling, recordkeeping, and correspondence.
  • Collaborate effectively with staff, volunteers, vendors, and community members to ensure successful event execution.
  • Follow all organizational policies, procedures, and safety guidelines.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent required; additional education or experience in event planning, recreation, marketing, communications, or a related field is preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office applications, email, social media platforms, and basic graphic design software.
  • Ability to work independently and as part of a team.
  • Strong customer service and interpersonal skills.
  • Ability to maintain positive relationships with community partners, sponsors, and vendors.
  • Valid driver's license and reliable transportation preferred.

Physical Requirements

  • Ability to stand, walk, bend, lift, carry, and move event materials for extended periods.
  • Ability to lift and carry up to 50 pounds.
  • Ability to work both indoors and outdoors in varying weather conditions.
  • Ability to transport equipment, supplies, and materials, including navigating stairs when necessary.
