Full job description
Timmons Group is currently seeking an experienced Fleet Administrator to join our Richmond, VA office. The Fleet Administrator is responsible for the strategic oversight, administration, and optimization of the company's fleet operations. This position manages all aspects of vehicle acquisition, utilization, maintenance, regulatory compliance, asset lifecycle management, and driver performance programs to ensure a safe, reliable, and cost-effective fleet.
The Fleet Administrator works closely with leadership, field personnel, vendors, and service providers to maintain operational readiness across the organization's fleet of vehicles and equipment. This role is responsible for maximizing fleet efficiency, reducing operating costs, improving vehicle utilization, maintaining compliance with applicable regulations, and supporting business operations through effective fleet management practices.
- Develop, implement, and continuously improve fleet policies, procedures, and operational standards.
- Manage the full lifecycle of company vehicles and equipment, including procurement, specification development, upfitting, deployment, transfer, and disposal.
- Oversee vehicle maintenance programs, ensuring all preventive maintenance schedules, inspections, repairs, and manufacturer-recommended services are completed on time.
- Administer vehicle registration, titling, licensing, permits, and insurance documentation to ensure compliance with federal, state, and local requirements.
- Manage fleet vendor relationships, including dealerships, maintenance providers, fuel vendors, leasing companies, and equipment suppliers.
- Lead accident investigation processes involving company vehicles, documenting findings, identifying root causes, and implementing corrective actions.
- Oversee driver qualification and monitoring programs, including Motor Vehicle Record (MVR) reviews, driver eligibility verification, and corrective action recommendations.
- Monitor and evaluate telematics, GPS tracking, and fleet management software to improve operational performance and accountability.
- Respond to fleet-related operational issues and provide timely solutions to minimize downtime and support business continuity.
- Perform other duties as assigned.
- Bachelor's degree in business, logistics, or related field and 5+ years of fleet management experience, or equivalent preferred
- Knowledge of fleet management principles, vehicle maintenance practices, and lifecycle cost management.
- Knowledge of vehicle registration, licensing, and transportation compliance requirements.
- Experience managing fleet management systems, telematics platforms, GPS tracking solutions, and maintenance software.
- Ability to analyze operational data and develop recommendations that improve efficiency and reduce costs.
- Strong vendor management and contract negotiation skills.
- Exceptional organizational, communication, and problem-solving abilities.
- Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Valid driver's license with an acceptable driving record.
- Travel Requirement: This position requires approximately 10–20% travel to satellite offices and project locations to support fleet operations, vendor coordination, and vehicle deployment.
Compensation: Our best estimate of the salary range for this position is $60,000-$80,000. This position is eligible for overtime.
