The Role:

In this role, you will provide administrative support to multiple Senior Leaders and/or Executives within Sales, Service and Marketing.

Responsibilities include the ability to multi-task and manage a broad scope of task assignments including schedule and calendar management, coordination of travel, expenses, and events. The position requires a high degree of accuracy and coordination. The successful candidate should have a positive demeanor, strong attention to detail, solid organization and reasoning, strong communication skills, the ability to handle responsibilities in a discreet and efficient manner, and expert-level use of MS Office products.

What You’ll Do

  • Administrative Support: Provide comprehensive administrative support including managing complex calendars and travel arrangements, scheduling meetings, managing expenses and badge requests.
  • Document Preparation: Create, edit, and format documents and presentations. Ensure all materials are accurate, professional, and align with team standards.
  • Communication: Serve as a liaison between the executives and internal/external stakeholders. Craft clear and impactful communications and handle confidential information with discretion and professionalism.
  • Team Coordination: Organize and facilitate team meetings and events, including finding conference rooms, preparing agendas, organizing safety presenters, taking notes, and following up on action items as needed.
  • Initiative: Identify opportunities for process improvement and take the initiative to implement solutions that enhance productivity and efficiency. Provide back up support to others as needed.
  • Cross-Functional Collaboration: Work across various departments to gather information, coordinate efforts, and ensure the successful completion of projects. Build and maintain strong relationships with colleagues at all levels, particularly EA peers on other teams.
  • Travel: Assist leaders with their travel arrangements and submission of travel expenses.
  • Event Planning: Assist in the planning and execution of events, ensuring all logistics are handled seamlessly as needed.

Your Required Skills & Abilities:

  • 3 - 5+ years of experience as an executive assistant supporting Senior Management or Executives or equivalent role.
  • Excellent organizational skills with an ability to think proactively and prioritize work.
  • Demonstrated ability to work independently and collaboratively on projects in a fast-paced environment and work under pressure.
  • Strong written and oral communication skills.
  • Natural curiosity and desire to learn the business.
  • Problem solving using independent thought and decisiveness.
  • Advanced proficiency in Microsoft Office, including MS Suite, CoPilot, scheduling, Outlook, and SharePoint knowledge.
  • Demonstrated ability to use AI tools effectively.
  • Demonstrated ability to take initiative and work independently.
  • Unquestionable level of integrity.

What Will Give You A Competitive Edge:

  • Associate or Bachelor’s degree is preferred.
  • Professional training and/or certifications in Administrative Skills/Support are preferred.
  • Training and Education experience is preferred.



This role is categorized as hybrid. This means the selected candidate is expected to report to a specific location at least 3 times a week {or other frequency dictated by their manager}.

This job is not eligible for relocation benefits. Any relocation costs would be the responsibility of the selected candidate.
