Join Our Operations Team at Convene 1 Boston Place.
We are looking for a Hospitality Coordinator to oversee the daily execution of our workplace, meeting, and event experiences. Reporting directly to the General Manager, this high-visibility, client-facing role is key to delivering an exceptional environment for our tenants and guests. You will collaborate seamlessly across departments to ensure daily operations run flawlessly and hospitality standards remain unmatched.
What You’ll Do
Experience & Welcome Desk:
- Welcome and check in all guests, clients, and workplace members
- Manage lobby/reception flow, VIP arrivals, and guest support
- Maintain ownership of assigned desk or floor, ensuring coverage, cleanliness, and organization
- Manage coat check, lost & found, and daily front-of-house operations
Event & Meeting Support:
- Support end-to-end execution of meetings and events
- Coordinate load-in/load-out, freight, and vendor logistics
- Create event materials (run-of-show, signage, menu cards)
- Assist with setup, breakdown, and on-the-floor support during peak times
- Support site tours and “Surprise & Delight” moments
Operations & Building Coordination:
- Partner with building management on security, maintenance, and event logistics
- Submit and track facility tickets (HVAC, repairs, etc.)
- Coordinate security guards, porters, and lobby flow for events
Workplace & Administrative Support:
- Assist members with bookings, catering, badges, and requests
- Manage calendars, event schedules, and internal communications
- Handle packages, invoices, purchasing, and supply inventory
- Support staffing logistics, including scheduling temporary team members
Systems & Collaboration:
- Use platforms such as Salesforce, JIRA, Robin, ProxyClick, DocuPhase, Canva, and Google Suite
- Partner with Culinary, Service, Production, Technology, and Customer Success teams
- Communicate effectively and problem-solve in real time
What We Look For:
- Minimum 2 years’ experience in hospitality
- Strong communication skills and a service-first mindset
- Highly organized, adaptable, and comfortable multitasking
- Flexible and long hours sometimes required
- Ability to move, lift, carry, push, pull and place objects up to 25 pounds without assistance
- Ability to reach overhead and below the knees, including bending, twisting, pulling, and stooping
- Ability to stand, sit, or walk for an extended period of time
Compensation: Starting Hourly Rate: $28.00/hour
