Full job description
*Position Summary*
The Sales Administrator supports the sales and marketing functions by managing lead data, coordinating marketing activities, monitoring sales opportunities, and ensuring timely progression of customer inquiries through the sales pipeline. This role serves as a critical link between sales, marketing, and operations, helping drive business growth through accurate data management, proactive follow-up, and effective lead administration.
*Key Responsibilities*
*Sales Administration*
- Enter and maintain new leads, opportunities, and customer information within the ERP/CRM system.
- Ensure lead and opportunity records are accurate, complete, and up to date.
- Track incoming inquiries and assign leads to appropriate sales personnel as directed by the director of sales.
- Monitor sales pipeline activity and maintain data integrity across all sales records.
- Generate and distribute sales reports and pipeline summaries as required.
*Lead Management*
- Review active leads and opportunities regularly to ensure quote due dates are met.
- Monitor opportunities approaching key milestones and follow up with sales personnel as needed.
- Identify overdue quotes and coordinate actions to keep opportunities moving forward.
- Review opportunities expected to close and ensure appropriate follow-up activities are completed.
- Assist in maintaining accurate sales forecasts by verifying opportunity status and expected close dates.
*Marketing Support*
- Coordinate trade show planning and logistics, including registrations, booth arrangements, promotional materials, and attendee tracking.
- Manage lead retrieval and data collection from trade shows, industry events, and external lead-generation websites.
- Import and organize marketing-generated leads into the ERP/CRM system.
- Support marketing campaigns by maintaining contact databases and assisting with campaign administration.
- Track and report on lead generation activities and campaign results.
*Communication & Coordination*
- Act as a liaison between sales, marketing, and other internal departments to support customer acquisition efforts.
- Follow up with sales representatives regarding lead status, quote activity, and opportunity progression.
- Assist with customer communications and information requests as directed.
- Support continuous improvement of sales administration and lead management processes.
*Qualifications*
*Education & Experience*
- Associate's Degree in Business Administration, Marketing, or related field preferred.
- 2+ years of experience in sales administration, customer service, marketing support, or a related role.
- Experience working with ERP, CRM, or sales management systems.
*Skills & Competencies*
- Strong organizational and time management skills.
- Excellent attention to detail and data accuracy.
- Proficiency with Microsoft Office Suite, particularly Excel.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Experience coordinating events or trade shows is preferred.
- Ability to work independently while collaborating effectively with cross-functional teams.

- Accurate and timely lead entry and maintenance.
- Achievement of quote due-date compliance targets.
- Effective tracking and follow-up of opportunities expected to close.
- Successful coordination of trade show and marketing activities.
- Improved visibility and management of sales pipeline opportunities.
Pay: $19.00 - $25.00 per hour
