Job Summary

The Client Service Associate (CSA) supports the administration and accounting functions of KeyBank Institutional Advisors’ Fund Accounting Team. This role is responsible for processing and reconciling financial transactions, maintaining accurate account records, ensuring timely completion of account activities, and supporting the operational needs of a highly regulated fiduciary environment.

The ideal candidate is detail-oriented, organized, and able to manage competing priorities with a strong sense of urgency. This individual must be a self-starter who can work independently while collaborating effectively with internal partners to ensure accuracy, compliance, and exceptional client service.

Essential Functions

  • Process financial transactions for Special Needs Pooled Trust accounts, ensuring accuracy, completeness, and timely execution.
  • Monitor work queues and prioritize requests to meet service level expectations and critical deadlines.
  • Maintain detailed documentation of account activity and ensure records are complete and audit-ready.
  • Coordinate with Trust Administration, Operations, Compliance, and other internal business partners to support account servicing and transaction processing.
  • Identify and escalate potential issues, risks, or exceptions that could impact account administration, client assets, or regulatory compliance.
  • Assist with month-end, quarter-end, and year-end activities and reporting requirements.
  • Demonstrate ownership of assigned responsibilities and proactively identify opportunities to improve processes, increase efficiency, and reduce operational risk.
  • Manage sensitive and confidential financial and client information with discretion and professionalism.
  • Perform other duties as assigned; responsibilities may change or be added at any time based on business needs.
  • Comply with all KeyBank policies and procedures, conducting business ethically and in the best interests of beneficiaries, clients, and the organization.

Education

  • Associate's Degree or equivalent experience (preferred)

Work Experience

  • A minimum of 3 years related work experience or equivalent combination of work/educational background (required)
  • Experience processing high-volume transactions with a focus on accuracy and quality control preferred.

  • General knowledge of financial products and services, including banking, trust and investments.

Physical Demands

  • General Office - Prolonged sitting, ability to communicate face to face in person or on the phone with teammates and clients, frequent use of PC/laptop, occasional lifting/pushing/pulling of backpacks, computer bags up to 10 lbs.
  • Required to work in office 3 days per week.
