GENERAL JOB DESCRIPTION Provide administrative support by preparing reports, supporting timekeeping, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, filing documents and processing customer accounts. Clerical duties may be assigned in accordance with the office procedures of individual establishments DUTIES & RESPONSIBILITIES •Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet or presentation software. •Open, sort, and distribute incoming correspondence, including faxes and email. •Answer telephones, direct calls and take messages. •Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders and address complaints. •Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers. •Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. •Prepare responses to correspondence containing routine inquiries. •Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer. •Support onboarding. Ensure that new hire onboarding is completed by the leader and support additional onboarding activities as identified. •Obtain authorization for all credit cards payments (VISA, MasterCard, American Express) and process credit card payments and check reader as needed to support counter operations. •Distribute and gather new hire packets. Ensure that new hire packets are complete prior to sending them to the Human Resources department. •Process payments from cash and charge customers. •Prepare daily deposit. •Responsible for cash drawer/petty cash. •Maintain a clean and organized office area EDUCATION & TRAINING •High School Diploma (or GED or High School Equivalence Certificate) • KNOWLEDGE & EXPERIENCE Professional Experience •Over 1 year, up to and including 2 year’s experience in an administrative position. Computer Skills •Intermediate to advanced user knowledge of Microsoft Windows components, including Microsoft Outlook, Google email and docs.
