Position Summary
The Education Program Logistics Coordinator supports CSU Spur’s Education & Visitor Engagement team by coordinating program logistics, coordinating staff and volunteer scheduling, and ensuring smooth daily operations across CSU Spur’s education programs. The position supports all field trips, camps, and outreach reservations, communicates with educators, is responsible for the education kit loaner system, coordinates fee-based program systems, and collaborates with internal teams and external partners to coordinate program spaces, maintenance needs, and operational logistics.
As a core member of the Education team, the Program Logistics Coordinator supports hiring processes, onboarding, staff and volunteer training, and appreciation events. The position manages travel logistics, prepares administrative documents, participates in team meetings, represents the Education team at events, and occasionally assists with program facilitation. Throughout all duties, the Program Logistics Coordinator provides excellent customer service and contributes to the growth and success of CSU Spur’s educational mission.

- Description of Work Unit: The Colorado State University (CSU) System, along with its partners, has developed a unique and exciting public facility called CSU Spur at the National Western Center in Denver, Colorado. The CSU Spur campus houses three buildings focused on water, food and agriculture, human and animal health, and sustainability. Within the Spur buildings, CSU conducts research and convenes experts from around the globe; students of all ages engage with science and have opportunities for exploratory learning, transforming their thinking about food, water, and health, and the careers available in these fields; and partners join in programming the space and bringing evolving content to the year-round campus. Essential Job Duties:
- Coordinate field trips, outreach activities, and STEM Kit and other education resource loan reservations, managing educator communications and overseeing all program logistics, including space bookings and onsite needs in collaboration with CSU programs, educators, and Spur staff.
- Manage complex daily, monthly, and special event staff and volunteer schedules utilizing Volgistics and Sling, aligning program needs, individual skillsets, meeting schedules, and programmatic goals.
- Support the creation of standard operating procedures for program operations including coordinating a new a fee-based model for field trips, camps, and outreach programs, and overseeing the systems used for scheduling, pricing, tracking, and processing program fees.
- Respond to complex inquiries and provide guidance on policies and procedures including bus and scholarship reimbursement tracking, exhibit maintenance and facility requests.
- Assist with staff and volunteer onboarding, training, mentoring, including coordinating procedures for onboarding and training staff in new program areas.
- Assist with staff and volunteer appreciation events and actively engage as a member of the education team including programmatic support, visitor engagement, and representation at events.
- Oversee supply inventory management, including ordering and distribution of materials, area maintenance and repair tracking, and monitor departmental expenses, resolving billing discrepancies and processing charges accurately and on time.
- Coordinate vendor and exhibitor submissions and requests for participation in special events at Spur, such as Second Saturdays and the National Western Stock Show, in collaboration with program Managers.
- Assist with scheduling and calendar coordination for senior Education team, and assist with preparing agendas and note taking for Education Team meetings.

Conditions of Employment:

- This role will have a planned weekly schedule, which may include weekend days and some evenings.
- Work will occur on site at CSU Spur in Denver and may include outreach events in the community.
- Legally authorized to work in the United States by the proposed start date; Spur will not sponsor a visa for this position.
Supervision:
- This position may supervise student and non-student hourly employees who will also support education programming and logistics, as well as train and mentor volunteers.
- This position reports to the Senior Director of Education and Visitor Engagement.
Minimum Qualifications:
- Bachelor’s degree from an accredited institution
- OR High School Diploma/GED plus 6 years related equivalent work experience.
- 4 years of demonstrated program coordination, general clerical, and/or staff scheduling experience.
- Excellent computer skills, specifically with Office 365 (Word, Outlook, Teams, Excel, PowerPoint) and the ability to learn additional software.
- Demonstrated strong organizational skills that include managing multiple programs, scheduling effectively, and the timely submission of required reports and materials as demonstrated through application materials and experience.
- Demonstrated ability to use exceptional verbal and written communication skills to prepare professional correspondence and present or explain information related to programs.
Preferred Qualifications:
- 5 or more years of general clerical, program coordination, and/or staff scheduling experience.
- Ability to communicate with program constituents in both Spanish and English.
- Demonstrated ability to establish relationships through interpersonal skills and collaboration with program stakeholders (e.g., educators/teachers, volunteers, CSU Spur staff, etc.) to ensure the best visitor experience.
- Demonstrated ability to work independently and take initiative by utilizing critical thinking and problem-solving skills to identify solutions for customer or program challenges.
- Experience creating and formulating moderately complex spreadsheets, forms, databases, and materials from a variety of information systems for booking education programs and scheduling staff.
- Experience using volunteer database software, such as Volgistics.
- Experience using a scheduling platform, such as Sling.

Salary Range
$58,000-$63,000
