Position Summary

The Program Manager for Faculty Affairs reports directly to the Associate Vice President (AVP) for Faculty Affairs and plays a key administrative role in supporting faculty lifecycle processes, operational coordination, and institutional compliance. This position ensures the effective implementation of faculty-related procedures, provides high-level administrative and project support, and contributes to a coordinated, service-oriented Faculty Affairs environment that advances student success and institutional excellence. Duties/Responsibilities

30% - Faculty Lifecycle Administration & Data Management Support

  • Coordinate and maintain accurate records for all full-time faculty across the employment lifecycle (e.g., hiring, reappointment, tenure, promotion, post-tenure review, sabbaticals, and separations) in alignment with university and Board of Trustees policies
  • Prepare, review, and distribute faculty-related documentation, including retention, tenure, promotion, and post-tenure review letters
  • Monitor and support faculty portfolio systems (e.g., Watermark) to ensure accurate tracking and secure recordkeeping
  • Compile, analyze, and report on faculty data (e.g., milestones, grievances) to inform institutional decision-making
  • Maintain centralized records such as university committee rosters and RTP committee assignments
  • Maintain and update the Faculty Affairs procedural calendar to ensure alignment with institutional timelines and policy requirements

40% - Administrative Operations & Executive Support

  • Provide comprehensive administrative support to the AVP for Faculty Affairs and Director of Faculty Affairs, including calendar management, meeting coordination, correspondence, and project tracking
  • Coordinate logistics for faculty-facing programming and institutional meetings (e.g., workshops, leadership meetings with Deans, Chairs, and Provost Office stakeholders)
  • Develop, revise, and distribute faculty guidance materials, procedural documents, and communication resources
  • Support Faculty Affairs committees, task forces, and Board of Trustees processes, including preparation of materials and coordination with the Provost’s Office
  • Conduct research and provide administrative analysis on faculty policy and process questions
  • Maintain Faculty Affairs web content and shared resources (e.g., website updates, posted reports)
  • Provide cross-functional administrative support, including front desk backup and records management (e.g., file digitization and indexing)

20% - Budget & Financial Administration

  • Support the development, monitoring, and reconciliation of Faculty Affairs operational budgets in alignment with university policies and fiscal timelines
  • Utilize Workday (or current MSU Denver system) to: initiate and track requisitions, purchase orders, and supplier invoices; monitor budget status, spending trends, and available balances across Faculty Affairs accounts; process expense reports, reimbursements, and internal cost transfers
  • Maintain accurate financial records and documentation to ensure audit readiness and compliance with institutional and state guidelines
  • Collaborate with the AVP, Director, and Finance partners to forecast expenditures and support budget planning
  • Generate routine and ad hoc financial reports to support decision-making and resource allocation
  • Coordinate financial aspects of Faculty Affairs events, workshops, and initiatives (e.g., vendor payments, catering, materials procurement)

10% - Other Duties

  • Engage in ongoing professional development to remain current on university policies, systems, and best practices
  • Perform additional duties as assigned in support of Faculty Affairs operations

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience (please note that two years of experience equals one year of higher education)
  • Experience in an administrative, program coordination, or operations support role
  • Demonstrated proficiency with Microsoft 365 tools (Outlook, Teams, SharePoint)

Preferred Qualifications

  • Experience working in higher education administration
  • Experience supporting executive-level leadership or complex organizational operations
  • Experience preparing, editing, and managing complex documents and procedural materials
  • Familiarity with faculty activity reporting or portfolio systems (e.g., Watermark)
  • Experience with web content management systems (e.g., WordPress)
  • Experience using Workday or similar enterprise financial and HR systems
  • Knowledge of confidentiality and compliance standards (e.g., FERPA, HIPAA)

Salary for Announcement

Under Colorado law, MSU Denver is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account a variety of factors including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The anticipated hiring range that the university reasonably expects to pay for this position is $65,000 to $75,000.

This position is paid monthly and is eligible for MSU Denver benefits.
