Job Description

The HR Coordinator is the position primarily responsible for MIP’s HR functions, which encompass the full employee lifecycle from talent acquisition through offboarding. MIP has approximately 500 employees at any time with continuous hiring and offboarding as research projects begin and end. This position will be the lead on all HR processes for faculty, administrative professionals, and state-classified employees, including advising supervisors and employees on HR processes and providing guidance on employee relations. The position will also have oversight for hourly hires and associates. This position is part of the MIP administrative team, providing guidance to the department and administrative team on HR guidelines, methodologies, and processes.

Essential Job Duties

  • HR Administration
  • Act as the department’s first-line advisor on HR related processes and guidelines. Communicate and disseminate information regarding HR changes, internal deadlines, appointment expirations, updates, and policies to relevant parties. Work Directly with CVMBS HR team and CSU HR for guidance and compliance with HR documents and any HR related issues that may arise.
  • Onboarding and offboarding of Administrative Professionals (AP), State Classified (SC), and Faculty employees in MIP.
  • Process HR transactions for background checks, hiring, assignment and salary changes, and ending positions for faculty, administrative professional, state-classified and postdoctoral fellow employee classifications.
  • Conduct salaried payroll responsibilities for accurate and timely submission of monthly payroll for all MIP employees. Enter holiday and other non-routine leave into the Workday system for department. Track postdoctoral leave requests and balances in separate department system. Process and track supplemental pay requests, ensuring the pay is processed accurately and timely.
  • Oversee department leave systems and related documentation, including appropriate compliance and processing for faculty sabbatical requests, and monitoring and reporting of employee leave.
  • Talent Acquisition & Position Search Process Management
  • Establishes, organizes, and manages recruitment/selection processes for each pool position in the department utilizing the main university system, Workday – Serves as support person for all searches. Takes meeting notes, posting jobs to various recruitment sites, arranging schedules, coordinating interview logistics, and tracking/entering relevant information into Workday – Assist with document verification for I-9 completion for new hires.
  • Serve as primary for moving position requests through the hiring process – reviewing and approving requests for positions to move to classification and posting, candidate review and selection in collaboration with hiring authority, candidate interviewing, initiating background checks, creating and providing offer letters, and hiring and initial onboarding.
  • Support for hiring of administrative professionals, state classified, and faculty staff for MIP, including position description review, and Workday support.
  • Manage general Pool Postings within MIP including applicant management, communication with applicants, and reposting expired pools.
  • Advise faculty on hiring options for administrative professional positions and assist as search support on AP searches.
  • Other Duties as Assigned

Minimum Qualifications

  • Bachelor’s degree from an institution of higher education in Human Resources or a related field.
  • 3+ years of related work experience.
  • Proficiency with Microsoft Office Suite.
  • Demonstrated customer service experience handling confidential information.
  • Demonstrated experience working in a team environment.
  • Demonstrated ability to prioritize and manage multiple deadline-driven projects simultaneously, both independently and as part of a team.
  • Attention to detail as well as written and verbal communication skills.
  • Demonstrated experience with HR information systems and/or other related systems.

Preferred Qualifications

  • 5+ years of related work experience.
  • Professional certification such as PHR/SHRM-CP.
  • Prior professional experience at an institution of higher education.
  • Experience with CSU's administrative systems including Workday.
  • Ability to change focus quickly between tasks and systems to maintain a high level of efficiency in a fast-paced environment.

Salary Range

$55,000-65,000
