Our Newest Opportunity:

Summary:

The Operations Support Specialist serves as a trusted partner, across all areas of responsibility, supporting the Manager of Operations, Senior Vice President of Operations and others on the operations team as needed. The Specialist will help the Operations Team be more productive and effective by maintaining responsibility for key assignments, general project management, planning and support. They will work closely with Operations leadership and cross-functional business areas to support operational efficiency, administrative execution, and data integrity. The ideal candidate is looking to start or broaden their career in business operations, project administration and strategy.

Meeting Preparation And Support

  • Preparation with stakeholders and materials management, includes: PowerPoint creation, working with key business areas and leaders to build agenda and materials and organizing and sharing deliverables
  • Meeting record keeping: Participate and support in keeping meetings on time and on topic, taking detailed notes and actions; creating summarized meeting highlights for disseminating to participants, following up on action items
  • Partner with advisors to support sales origination efforts by identifying engagement opportunities and helping drive prospect activity

Event Planning And Calendar Management

  • Calendar management as requested for the Operations Team
  • Light travel planning and coordination
  • Event logistics research, coordination, and administrative support in service of Operations team objectives, as directed by Operations leadership
  • Provide administrative coordination for internal and client-facing operational webinars and educational events, including RSVP management, attendee tracking, follow-up logistics, and post-event record keeping, as directed by the Operations team

Data Management

  • Auditing reports
  • • Reviewing operational and client data within Salesforce and other internal systems; performing data hygiene tasks and coordinating with data owners to ensure accuracy in support of Operations team reporting
  • • Creating financial summary reports
  • • Maintain and manage Salesforce data related to client relationships, prospect activity, opportunities, and executive benefit programs to support business development and client service initiatives

General

  • Support the various facets of the Operations Team and projects
  • Ensure successful completion of projects and initiatives within specified timeframes
  • Proofreading and editing
  • Considering and sharing ideas on efficiencies
  • Perform additional responsibilities as requested or assigned
  • Self-manage time, prioritize projects and work efficiently
  • Demonstrate a strong willingness to learn the Executive Benefits and nonqualified plan market.
  • Pursue relevant industry education and credentials (e.g., NQPC designation) to deepen subject matter expertise.
  • Proficient with Microsoft Office applications including Excel, PowerPoint, OneNote, OneDrive, Word and Outlook
  • Strong ability to learn new systems and tools
  • Must be self-motivated and disciplined
  • Strong research and problem-solving skills
  • Excellent communication and attentive listening skills; able to interact effectively with people of various responsibility and authority (employees, key contacts, executives, etc.).

Education, Training and Experience:

  • An earned Bachelor degree (or its equivalent).
  • One or more years of experience in Operations Management and/or Project Management.
  • One or more years of experience in employee health & welfare or retirement benefits industry preferred.
  • Exceptional MS Office experience required. Expert level proficiency in Excel and PowerPoint is preferred.

The typical base pay range for this role nationwide is $50,000 to $75,000 per year.
