Job Description

The Compliance & Risk administrative assistant will play a critical role in safeguarding the organization by handling and resolving compliance incidents, legal items, and insurance claims. This position requires an analytical professional who can monitor incoming queues, assist with onboarding employees, and execute monthly audit routines. The ideal candidate is highly organized, comfortable navigating data, and skilled at coordinating between internal legal teams, lenders, and vendors.Case Management & Operations Monitoring

  • Inbox & Queue Management: Daily monitoring and routing of specialized streams (including Salesforce cases, chat platforms, and flash alerts) to identify operational risks, complaints, or resource requests.
  • Workflow Administration: Review, tag, and process highly sensitive tasks including client remediations, new legal cases, client questionnaires, and compliance certifications.
  • New Client SLA Documentation: Actively monitor new client contractual terms and train teams on how to handle compliance requirements in accordance with Service Level Agreements (SLAs).
  • Process Documentation: Create, update, and maintain Standard Operating Procedures (SOPs) for compliance and case management workflows.

Legal, Claims, & Incident Processing

  • Case Intake: Initiate legal cases within Salesforce and organize corresponding case files within secured corporate network drives.
  • Fact Investigation: Conduct thorough investigations into paperwork claims by extracting and analyzing account documents, recorded calls, contracts, attestations, and relevant field data (photos/LPR info).
  • Escalation Coordination: Manage communications regarding lender escalations, request indemnifications, and partner directly with internal legal teams.
  • Insurance & Vendor Accountability: Notify vendors to engage insurance providers, independently open claims when vendors delay, track claim progression, and secure indemnification once claims adjusters are assigned.

Compliance Audits & Data Analysis

  • Monthly Audit Execution: Pull, prepare, and monitor monthly internal audit spreadsheets. Track audit logs, verify documentation, and route final compliance paperwork via DocuSign.
  • Targeted Audits: Execute specialized client and regulatory audits
  • System & Access Verification: Conduct physical and user access audits—including Clean Desk, Background Check validations, platform user access logs, and Do Not Use (DNU) list reconciliations.
  • Production Tracking & Reporting: Analyze incoming operational data and update department leadership on new production trends, vendor probations, and open compliance remediation logs.

Required Skills:

  • Exceptional organizational skills required to manage high-volume case streams, distinct client templates, and monthly audit schedules.
  • Clear, direct communication skills for handling sensitive vendor escalations, insurance claims, and internal legal partnerships.
  • Must be highly comfortable handling and resolving complaints, incidents, operational issues, claims, compliance breaches, and legal items.
  • Proven ability to analyze datasets, track production trends, and extract actionable insights to keep the department updated.

This position is a remote position and candidates can be located anywhere in the US.

Target Base Salary Range - $45,760 USD

Basic Requirements

  • High School Diploma or G.E.D.
  • 2+ years of experience in compliance, legal operations, risk management, or insurance claims processing.
  • Legal authorization to work in the U.S. indefinitely is required. Employer work-permit is not available for this position.
