Job Description
Atwell is seeking a Technology Business Operations Specialist to provide operational and executive support to our Technology Leadership Team and Vice President of Technology. This role will help drive the day-to-day effectiveness of Technology Services by coordinating priorities, supporting technology initiatives, maintaining departmental operations, and improving communication across the organization.
This is not a traditional Executive Assistant position. While executive support is an important component of the role, the successful candidate will also be comfortable working with technology-related processes, reporting, procurement, invoices, vendors, documentation, and operational data.
The ideal candidate is organized, proactive, technically curious, and confident using modern workplace tools to improve efficiency. Candidates do not need experience in every area listed below, but they should bring a strong combination of executive support, business operations, project coordination, procurement, vendor management, or technology administration experience.
Responsibilities
Technology Business Operations
- Monitor technology initiatives, gather project updates, and create clear status reports for Technology leadership.
- Track departmental priorities, action items, deadlines, risks, and follow-up activities.
- Maintain organizational charts, distribution lists, departmental documentation, operating records, and technology resources.
- Independently coordinate technology procurement and purchasing activities, including evaluating business needs, collecting quotes, maintaining inventory information, and working with internal purchasing teams.
- Administer technology-related invoices, purchase orders, vendor agreements, software renewals, lease contracts, and other purchasing activities.
- Support vendor management by tracking performance, renewal dates, contract terms, pricing, and purchasing alternatives.
- Assist with departmental budget administration by monitoring invoices, project costs, expenditures, and budget activity.
- Identify discrepancies, upcoming renewals, cost concerns, and other items requiring leadership attention.
- Use modern productivity and technology tools to organize information, research solutions, streamline workflows, and improve departmental efficiency.
- Recommend process improvements and practical solutions when operational risks, barriers, or inefficiencies are identified.
Executive and Technology Leadership Support
- Manage and coordinate the Vice President of Technology’s calendar, including scheduling, meeting logistics, prioritization, and preparation.
- Develop meeting agendas, reports, presentations, correspondence, and supporting materials.
- Coordinate Technology Leadership Team meetings, including scheduling, agenda development, documentation, meeting facilitation, and action-item tracking.
- Prioritize executive commitments, departmental initiatives, and deadlines to support timely follow-through and execution.
- Prepare executive presentations, operational reports, communications, and other materials that support leadership decision-making.
- Manage communications on behalf of the Vice President of Technology when appropriate.
- Coordinate travel arrangements, itineraries, expense reporting, and related administrative needs.
- Partner with Technology Services, Operations, Corporate Services, Finance, Procurement, and other internal teams to support departmental initiatives.
- Handle confidential and sensitive information with professionalism and discretion.
What We’re Looking For
- Experience in business operations, technology administration, executive support, project coordination, procurement, vendor management, finance administration, or a related area.
- Strong organizational skills with the ability to manage competing priorities, deadlines, and detailed information.
- Experience creating status reports, presentations, process documentation, organizational charts, or operational reports.
- Comfort working with invoices, purchasing processes, contracts, renewals, budgets, or vendor records.
- Strong written and verbal communication skills.
- Ability to communicate effectively with executives, technology professionals, vendors, and business partners across the organization.
